The selected manufacturers possess the skilled craftsmen and state of the art technology for fabrication and finish required to comply with the five-star standards of quality demanded by IRIS, ARTLV and our clientele.  IRIS Project Management, assigned to the China division, are based in our offices located near the manufacturing facilities allowing full time project leadership on all stages of the fabrication process in order to assure that a product is built exactly to client specifications.

A brief history

            Like many companies try today, we also in the past, starting approximately 7 years ago, tried many different ways to procure product from China, and can tell you we suffered all of the same issues you’ve heard about, importing product from China, and potentially, many issues you haven’t heard about. 
            So, a few years ago through many months of research and qualification of facilities in China, along with many hours of Chinese legal counsel as well as American legal counsel, we restructured our company to have the control required to manufacture projects in China. 
            Architectural Resource Team set up legally registered offices in Dongguan and Xiemen China because you must have, at all times of product manufacturing, your own dedicated project managers within the factories managing your projects. Additionally, you must have project controllers to coordinate flow of production, and strategic sourcing to locate and guarantee the procurement of the proper raw materials to manufacture a given project.
To do anything less than this, is to simply roll the dice.


The Team
The IRIS and ARTLV Project Management staffs both in the US and overseas are career oriented professionals with specific backgrounds in product design and manufacturing, engineering, interior design, project management, strategic sourcing, and import/export coordination.

IRIS Inspection Services can be custom tailored to fit your needs.  IRIS Inspection Services at a minimum can perform scheduled manufacturing and shipping inspections providing you with written documentation of inspections and photos, up to complete project manufacturing oversight with full-time dedicated inspectors assuring at no time will project specification be compromised without your knowledge.  In addition to vendor / manufacturer qualification services above, we can provide the following:

  • Initial manufacturing plans check.  IRIS will inspect architectural plans, interior design drawings etc., versus manufacturer shop drawings and will report any errors found.
  • IRIS will advise if any items are illegal to ship into the United States or have levied tariffs by the Department of Commerce and the amount of the tariffs if any.
  • Initial manufacturer time schedule.  We will determine based upon the manufacturer’s facilities, manpower and resources to be applied to the project, if the schedule is realistic and report accordingly.
  • Perform letter of credit inspections prior to release of payments.
  • Inspect and determine the functionality of initial manufacturing technique to be used throughout the manufacturing process and equipment set up and report accordingly.
  • Inspect manufacturer material order documentation to assure specification adherence and prevent needless delays due to re-ordering to meet specification and report accordingly.
  • Insure additional specs are met in product such as moisture content in wood materials, alloy content in items such as sinks and faucets, rub counts in fabrics, authentic UL ratings for electrical components etc., at time of order by manufacturer.
  • Inspect initial raw material deliveries to manufacture for specification adherence and report accordingly.
  • Inspect items such as hinges for cabinet doors, subcomponent hardware assemblies for specifications, quality, durability etc. prior to use in the manufacturing process.
  • Multistage inspections during the manufacturing process.
  • Full time project manufacturing inspection, with dedicated staff.
  • Final manufacturing inspection prior to packaging.
  • Controlled inspection stamping of product prior to packaging to assure nothing is packaged without inspection.  Note that this can be written into a letter of credit as a stipulation of payment, no stamp, no payment.
  • Inspect for proper packaging based upon method of transportation, as for instance, air freight is much harder on product than container shipping and requires special consideration for packaging.
  • Inspect the loading of containers.
  • Inspect required shipping documentation to avoid issues at customs.

Introduction

Through many requests and meetings with leaders in our marketplace, IRIS has developed the following package for your direct purchasing from China. 

We believe within this package, you will find a cost effective plan that will allow your company to realize the desires of direct purchasing from China in a cost-effective manner, while maintaining quality, specification and on-time delivery.  Additionally, IRIS has accounted for sourcing, shipping as well as all other areas required to procure and manufacture in China.

This package has been based upon the requirements for sourcing, manufacturing, shipping, storage and installation.  It includes the necessary components and personnel overseas in China, as well as the necessary personnel in the US from a manufacturing standpoint.

It has the flexibility to add personnel as your company finds necessary.  For instance, initially in China, we will only need the dedicated IRIS office staff for sourcing and management type functions, and in the US we will only need drafting, project management etc., for manufacturing and coordination.  However, as manufacturing packages and contracts are established and placed within manufacturing facilities and/or multiple projects materialize, IRIS will have the need for other functions of manufacturing such as China on-site project manufacturing controllers. “Hands on, full time, manufacturing control”.  

As it would appear that it could be your company's intention to purchase a very large amount of product from overseas, mainly China, not only for your current projects, but many other projects in the future, IRIS can enter into long-term agreements, 3 to 5 years, based upon the documentation in this package at a discounted rate. Additionally, this plan is based upon an isolated and completely separate operation, your operation, as you will need the dedicated staff as shown in this package. 

Additionally, IRIS understands that it could be the goal of your company to ultimately become self-reliant without the need of an external company (IRIS) managing your overseas manufacturing and procurement. If this is the case, after initially moving forward, we could begin the rigorous task of interviewing new potential qualified experienced personnel to fill the required positions to accommodate this goal. We can further discuss this, later, at your convenience.


Known Objectives

  • Procure product from China for a single and or multiple project sites across the United States.
  • Procure product of quality from China cost effectively
  • China to have the necessary experienced staffing in place to control sourcing, manufacturing, shipping etc. (IRIS)
  • China - Pre-qualify potential manufacturers through sourcing. Your company with recommendations from IRIS would make the final decision on the appropriate manufacturers based upon a scoring system and other criteria showing the manufacturer’s ability to produce a quality product while maintaining the critical path of the task intended.
  • US – IRIS, at the request of your company, will fill the required personnel positions for manufacturing such as drafting for shop drawings, project management for manufacturing, project control for manufacturing and shipping. Additionally project managers and controllers would travel to China for product clarification, training, inspections as well as manufacturing facility qualifications etc.
  • US - Additionally, upon the request of your company, project managers for manufacturing would also interact with selected installation companies as early as the shop drawing process, to increase the ability through manufacturing construction design, a more expedient method of installation to save installation time. Note that as the cost of labor for manufacturing in China is inexpensive as compared to US cost of installation, we do not want to overlook the fact that an additional hour of labor in China to save an hour of labor in the US during installation is a major cost savings.  I highly recommend we use the manufacturing and installation experience IRIS has here in the US to achieve this particular goal.
  • US - Your company upon your request could use existing staff to fill required personnel positions for any process of design, manufacturing and purchasing product from overseas.
  • US & China - Provide dedicated office space based upon project sites the United States and manufacturing locations in mainland China.
  • US & China - Provide dedicated office staff filling the necessary positions required as well as full-time factory assigned project controllers as required.
  • China - Iris will provide lists of qualified manufacturers in the categories of cabinetry, granite and marble, curtain wall, FF&E, seating, lighting, plumbing fixtures etc., with state-of-the-art facilities, totaling in excess of 15,000,000 ft.², with over 3500 qualified employees.

 IRIS Qualifications

US qualifications

  • ARTLV, part of the IRIS team, is a legal registered China company, this lets the manufacturer know that IRIS is not simply a broker making phone calls, but that in fact we have offices in mainland China, and have the ability to obtain legal Chinese remedy if issues should arise that cannot be settled.
  • In depth experience in the manufacturing  and installation of multiple product categories, such as FF&E, millwork, casework, seating, standing and running trim, lighting, stone, interior doors and trim etc.
  • Previously owned and operated a union millwork, casework and FF&E manufacturing facility, of 60,000 ft.², (MRK Specialties, inactive) with 45 union carpenters in Las Vegas, Nevada.
  • Have employed and managed as many as 95 union field carpenters on a single project to a successful completion.
  • Knowledge of standards set forth by AWI and WIC.
  • Firsthand experience (six years going on seven) in China customs and traditions in manufacturing and business.
  • Existing relationships with qualified Chinese manufacturers of many different product categories.
  • IRIS has investigated and established international relationship with world-class manufacturers, many unknown in the United States, with skilled craftsman numbering in the thousands and state-of-the-art technology for fabrication and finish required to comply with the five-star standards of quality demanded by IRIS and its clientele.
  • Ability to service projects after completion, maintaining all product information after completion on our servers in the event information is needed for whatever reason after completion.
  • Have designed approximately 60% of the product we have manufactured.
  • Extensive knowledge of available products and manufacturing techniques for value engineering in China.
  • Through the existing relationships IRIS has with overseas manufacturers, IRIS has the ability to, and has in the past, set up direct relationships between project owners and manufacturing facilities while assisting in the everyday operations and control of projects being manufactured.
  • Complete overseas shipping control system in place.

China Qualifications.

  • ARTLV, part of the IRIS team, is a legal registered China company as mentioned above. 
  • Complete China office infrastructure in place. The ART China staff has been assembled from related professions and careers in furniture design & Manufacturing, architecture, interior design, project management, manufacturing technologies, computer-aided drafting technologies, import and export coordination and shipping etc.
  • Through our existing Chinese personnel resources, we have the ability to build a highly qualified team for your company.
  • Our China business management, project management staff with existing knowledge in manufacturing processes of multiple item categories, has additionally received two years of in-depth training on US business practices, as well as required manufacturing techniques to produce product to US standards.
  • Our China sourcing team as a vast knowledge of manufacturers in the building industry as well as furniture, lighting, plumbing fixtures, stone etc.
  • Our China shipping control and coordination staff has been formally educated as to customs, transportation, export duties and taxes etc.

Suggested Initial Operational Summary -- Basic
The following is a basic operational summary that put in place, would support the process of safely procuring product from mainland China.

On the US side,
The following is a basic list of positions required for the process of manufacturing and procuring product from China for approximately 4 to 6 product categories on a given project. 

Director of Operations for Your Companies Overseas Manufacturing
This position would be in charge of the complete operation for IRIS and ART China as well as interact with ARTLV as required. This will allow at all times, a key person to be in China during the initial startup and other critical times as required.  See “Proposed Structure”.

Vice Director of Operations for Your Companies Overseas Manufacturing
This position will assist the Director of Operations and will also be in charge of the complete operation for IRIS and ART China as well as interact with ARTLV as required during times when the Director of Operations is in China. This position will also travel to China. This will allow at all times, a key person to be in China during the initial startup and other critical times as required.  See “Proposed Structure”.

IRIS will put in place the following additional initial positions, one Senior Project Manager, one Project manager, one Project Coordinator, and one Draftsman. Additional management positions can be added and may be required as volume increases at anytime per the request of your company.

Senior Project Manager
The IRIS Senior Project Manager would be responsible to interact with your companies designated design team, architectural engineers, project managers, purchasing department and the IRIS Project Manager/s and Coordinator/s.
This SPM, would receive plans and direction on required products to be manufactured in China from your company, and coordinate between IRIS drafting for shop drawings, interact with China project management for clarification of product, special required manufacturing techniques clarification, perform ongoing in factory clarifications, spot inspections through travel to China, installation method coordination between the manufacturer and installation companies, coordination of installation etc.

Project Manager
The IRIS Project Manager would be responsible to interact with your companies designated design team, architectural engineers, project managers, purchasing department and the IRIS Project Coordinator.
This PM, would receive plans and direction on required products to be manufactured in China from your company, and coordinate between IRIS drafting for shop drawings, interact with China project management for clarification of product, special required manufacturing techniques clarification, perform ongoing in factory clarifications, spot inspections through travel to China, installation method coordination between the manufacturer and installation companies, coordination of installation etc.

Project Coordinator
The IRIS project coordinator will be responsible to interact with your companies project management, IRIS project management, China project management, warehousing management, deliveries and shipments for complete project manufacturing and shipping coordination. Collects and analyzes information from China manufacturers, China project managers, US project managers to aid in assurance of on-time deliveries, cost control based upon previously manufactured product etc.

Draftsman
The IRIS draftsman will be responsible for the shop drawings for fabrication by manufacturers in China.  Additionally, the draftsman will also be responsible for plans database between manufacturing documents and delivery documents for product inventory control at the time of delivery. Note that this position has a requirement for extensive experience in hands on manufacturing knowledge.

The above listed positions and tasks, are just a few of the basic needs when manufacturing in China and shipping the product United States for installation. If your company should elect to move forward with this plan, the above listed personnel would be a minimum requirement based upon the initial needs to move forward.  As projects and/or volume of product be manufactured in China increases, additional personnel may be required, and would be added upon the request of your company.

Please note, project estimating, pre-budgeting for procurement of manufactured import product will be accomplished by the IRIS team as listed above with guidance from IRIS ownership.
On the China side,

Director of Operations for your company, China Division
For manufacturing, starting at the top, this position will be in charge of the complete China operation for your company. See “Proposed Structure”.
This position will oversee the following dedicated positions, as well as the on-site Project controllers.

Managing Director of Manufacturing for your company, China
Supervises all project managers and project controllers. Controls sourcing and assist the Director of operations in the prequalification of potential new manufacturers. Verifies all shop drawings edited in China for Chinese use. Manufacturing cost control.

Lead Project Manager, Sourcing
Lead Project Manager FF&E case goods, FF&E seating, cabinets, stone counter tops and flooring. Interacts with factory management throughout the manufacturing and packaging for shipment process, inspects raw materials for specification adherence, closely monitors production time to assure on-time deliveries, Supervises project controllers assigned full time to factories, interacts with US project management and US project coordinators.  Also assists in sourcing new product. Assists other project managers and their projects as required. Assists in manufacturing cost control.

Project Manager, Sourcing
Project Manager for plumbing fixtures and bathroom hardware. Interacts with factory management throughout the manufacturing and packaging for shipment process, inspects raw materials as required for specification adherence, closely monitors production time to assure on-time deliveries, Supervises project controllers assigned full time to factories, interacts with US project management and US project coordinators.  Also assists in sourcing new product.

Project Manager, Sourcing
Project Manager for fabric, artwork and miscellaneous accessories. Interacts with factory management throughout the manufacturing and packaging for shipment process, inspects raw materials for specification adherence, closely monitors production time to assure on-time deliveries, Supervises project controllers assigned full time to factories, interacts with US project management and US project coordinators.  Also assists in sourcing new product.

Project Manager, Sourcing
Project Manager for doors, door hardware, custom millwork, casework and specialty closet systems. Interacts with factory management throughout the manufacturing and packaging for shipment process, inspects raw materials for specification adherence, closely monitors production time to assure on-time deliveries, Supervises project controllers assigned full time to factories, interacts with US project management and US project coordinators.  Also assists in sourcing new product.

Project Coordinator, (project tracking and shipping control)
China project coordinator will be responsible to interact with China project managers, China project controllers, US project coordinator, and all shipping and delivery sources for complete project manufacturing and shipping coordination. Collects and analyzes information from, China project managers, US project managers to aid in assurance of on-time deliveries, cost control based upon previously manufactured product etc. Works hand-in-hand with US project coordinator.

Car and Driver
Shuttles management staff as well as VIPs.  Additionally acts as a runner.

Project Controllers. On site manufacturer project management. If a project is physically being manufactured, project controllers act as the full-time, on-site project management.  Note that most on-site project controllers physically live in the factory dormitories.  Additionally the on-site project controllers are responsible for inspections of raw material prior to manufacturing to assure product spec adherence, moisture control, inspections during the manufacturing process and prior to shipping, and must physically stamp any item prior to its packaging as approved for packaging and shipment. Project controllers report to project managers.  
We have found the standard for project controllers is to place a project controller and an assistant project controller as a team for each project in a given factory.  For instance, on the project having cabinets and stone counter tops, we would place a controller and an assistant for the cabinets as well as a separate controller and an assistant for the tops.
As the cost of labor is inexpensive in China, it makes good sense to have qualified project controllers and assistant project controllers assigned to each task.

Initial setup cost                                                       Based upon your needs
As all legal filings in China involving China attorneys, office space in China and necessary tenant improvements etc. as required by the Chinese government are already in place, initial setup costs are minimal. Other items such as office equipment and furniture can be procured locally in China based upon your company's needs.  As product procurement and manufacturing volume increases, additional staffing as well as office space can be added as needed.  Cost of additional office space and its tenant improvement is minimal.

Initial Cost of Operation, US                                
            This cost will include the basic staffing, office space, overhead etc. including travel to China to handle a single project kickoff with multiple item categories and rolling into the manufacturing process for a project such as a hotel casino or condominium high-rise. 
Typically, it is the time at the front of the project that is the critical time, as once the manufacturing process is started, it requires somewhat less supervision from the US side, and becomes more of a China workload.  This can allow the US team to start looking at new projects. To handle a second project after the first project is in the manufacturing stage would require minimal additional staffing.
You will notice that IRIS has kept the amount of required personnel in the US to a minimum, and this is possible through using highly qualified personnel with an in-depth knowledge of manufacturing.  Additionally, our company is experienced in running lean and mean, and has always been focused on operating cost effectively.

Initial Cost of Operation, China    Monthly                                
            This cost will include the required staffing, office space, overhead, taxes etc., including full time factory project controllers to handle a single project kickoff with multiple item categories and then moving into the manufacturing process. It includes 9 office staff, and 14 in factory project controllers.
Typically, as with the US office, it is the time at the front of the project that is the critical time, as once the manufacturing process is started, it requires somewhat less time-consuming supervision from the project managers, and becomes more of a in factory project controller function.  This can allow the China management and sourcing team to start looking at new projects. Additionally like the US office, handling a second project after the first project is in the manufacturing stage, would require minimal additional staffing in China.  However, this is most cost effective. 
Unlike the US office, you will notice that IRIS increased the amount of required personnel in the China office as the cost of employment is extremely affordable.  There is no point in skimping here, as overkill here does not hurt, financially or otherwise.  Also keep in mind, the standard workweek in China is 60 hours, Monday through Saturday, 10 hours per day.

 

Cost of Service
Cost of service is extremely affordable and based low (10% or less) percentage of  product manufactured and procured in China based upon China shipped cost.
